The First 48 Hours, and What They Produce

Most travellers expect a finished itinerary in the first reply. What arrives instead is a shape: dates, cities, a suggested pace and the open questions that decide the rest. The order is deliberate.

The First Reply Is a Shape, Not a Finished Plan

A shape sets the frame before the detail: which cities the trip can realistically hold, how many nights each one needs, how the arrival and departure days fit, and which regions are too far apart to combine in the time you have.

It is written to be argued with, and it usually is. Travellers add a city, drop a museum, move a date, and the frame changes. That is why it arrives early: if the shape is wrong, everything built against it is wasted work. How a trip is built behind the scenes shows what sits downstream.

What Must Be Decided Early

Four decisions are expensive to change later and cheap to change now.

• Travel dates. Peak domestic holidays, weekend rail demand and major trade fairs all tighten supply, and the earlier dates are fixed, the more choice remains.
• Cities, and how many. Every extra city buys a transfer day, and a transfer day is a travel day.
• Party size and ages. Vehicles, room types and walking pace all scale with the group, and step-free needs change which hotels work at all.
• A budget band, not a total. A band tells us which tiers of hotel, train class and vehicle to quote, so the first priced version lands near what you intended to spend.

Restaurant choices, evening activities and optional add-ons can all move later without rebuilding the plan.

When Pricing Arrives, and Why It Moves

Pricing arrives after the shape is agreed, not before, because a quote is assembled from things with their own release windows: hotel allotment, rail seats, vehicle days and guide days.

So the first price is a real price for a real shape, and it moves when the shape or the date moves. We quote in writing, and the payment schedule that follows - deposit, balance and the refund boundaries - is the part of deposits, payments and refunds worth reading before you pay. The same terms reappear in the travel contract you sign, and the two should match.
