What We Actually Collect

A booking cannot be issued without four items: the name exactly as printed, the document number and expiry, the date of birth, and the nationality. Hotel registration and timed entry ask for the same four. We do not collect card numbers or bank details.

Who Sees It, and Why

One planner owns the file end to end, and the licensed entity receives it to issue and account for the booking. Beyond that, only suppliers who must hold a name: rail ticketing, hotels, timed entries, transport. A driver gets a pickup list, not scans; we vet suppliers on that basis.

Why a Supplier Cannot Work From a Nickname

Rail seats and attraction slots are issued to one named person and checked at the gate, and a hotel must register a foreign guest with the local police. A shortened or reordered name creates a mismatch that costs a morning to fix. Real-name bookings are where this bites first.

How Long We Keep Documents

Retention follows the file, not a calendar. While a booking is live the working file stays open, so a change can be made quickly. After travel, identity scans and copies are deleted on request or on our own schedule. Nothing sits in a personal mailbox or messaging app.

What We Cannot Delete on Request

One boundary is worth stating. Records a licensed travel business must keep for accounting and filing are not ours to erase the day a trip ends, and we will not pretend otherwise. What we control is separation: issuance documents are never filed with the commercial record.

What We Do Not Do

We do not sell or share traveller data for marketing. We do not pass a copy to a supplier for whom a name on a list is enough. And we do not need a passport to quote a trip: dates, cities and headcount are enough.

When Documents Actually Arrive

A first enquiry needs no document at all. They become necessary at issuance: rail seats, timed entries, hotel registration and permits all require the passport itself. A plan can therefore run for days on names and dates alone.

Where We Would Say No

If a traveller wants documents moved through a channel we cannot secure, we would rather not hold the file, and we say so at the enquiry stage rather than after payment. The same goes for holding a passport longer than a trip requires. The cooperation page covers agency files.
