Where a Group Stops Being a Big Booking

A group of six and a group of fifty-seven arrive through the same form and are not the same job. Below a certain size a group is a booking: one vehicle, one guide, one hotel. Above it, one vehicle no longer holds everyone.

Vehicles, Insurance and the Thresholds in Between

The first threshold is the vehicle. We work from a ladder of vehicle classes, and a large party can fall between two rungs: two vehicles, or one larger class.

The second threshold is insurance. Cover is arranged per traveller and tied to a name and a passport number, so the declaration grows with the group rather than the invoice. Adding two travellers a week before departure is a fresh declaration for two people, cleared before the first internal ticket is held. Seating, Timing and the Cost of One Late Traveller

At group scale a timetable becomes a series of capacity questions. A restaurant that seats a family of four may need the whole room for a group of fifty, served from a set menu. Sites that release timed-entry slots per person force a group either to take one slot large enough for everyone or to divide. Trains assign seats individually, which usually puts a group in adjacent blocks.

A group itinerary therefore carries more buffer than a private one: the minutes that look unnecessary protect a departure for fifty.

One Coordinator, One Thread

Fifty-seven travellers do not need fifty-seven points of contact. They need one on each side: one person who can decide, and one coordinator here who holds the whole file, from the rooming list and dietary notes to passport details that must match tickets exactly.

What to Send Us First

A group brief does not need to be long, only complete. The four items that change the answer most are the headcount, the dates, the cities and who decides. Once the shape is settled, the arrangements go into a contract naming the licensed entity, the inclusions, the payment schedule and the cancellation terms.
